How Often Should Business Computers Be Serviced?

26 July 2026 · 5 min read

Downtime rarely arrives as one dramatic failure. It builds from small, ignored warnings: a fan clogged with dust, a disk running out of space, a backup nobody has tested. A simple maintenance rhythm removes most of it.

A workable schedule

For a typical Nigerian office environment:

  • Monthly: check backups actually restore, review disk space, apply updates
  • Quarterly: internal cleaning of laptops and desktops, fan and cooling checks, battery and UPS testing
  • Twice yearly: server health review, network device firmware, printer servicing
  • Yearly: full equipment audit — age, condition, replacement planning

Why dust and heat matter here

Harmattan dust and warm, humid conditions shorten hardware life considerably. Blocked vents raise operating temperature, which slows machines first and kills components later.

Cleaning is the cheapest maintenance task available and the most frequently skipped.

Power protection is maintenance too

Unstable supply and repeated hard shutdowns damage disks and corrupt data. UPS batteries degrade quietly and need testing, not assuming.

The warning signs to act on

  • A machine that has become noticeably slower over weeks
  • Fans running loudly and constantly
  • Unexplained restarts or freezes
  • Frequent paper jams or print quality drops
  • Network slowdowns at consistent times of day

Planned versus reactive

Planned maintenance is scheduled, quiet and predictable in cost. Reactive repair happens on a deadline, costs more, and takes staff offline. Organisations that move from the second to the first almost always spend less overall.
